Library Email Service Access

The library e-mail service can be access either by WEB mail using an internet browser or with an email client such as Outlook, Thunderbird, or em-client.  The details below describe how to setup access to your email.

Internet Browser (WEBmail)

To access the web mail service with an internet browser use the following url.

http://webmail.control.speedyweb.co.uk/

Enter your library email address and password in the dialogue box to access your account..

Mail Client

If you wish to access you account using an email client on either your mobile phone or computer please enter the following details.

POP3

To access your account using pop3 the details are:-

Incoming Mail Server: mail61.extendcp.co.uk

SSL Port 995

Outgoing Mail Server: mail61.extendcp.co.uk

SSL Port 587

IMAP

To access your account using IMAP the details are:-

Incoming Mail Server: mail61.extendcp.co.uk

SSL Port 993

Outgoing Mail Server: mail61.extendcp.co.uk

SSL Port 587

WEBmail

Compose/Send Email

To send email via Webmail:-
Log in to your account.
Click New > New Email
Fill in the message information:
To: Type in the recipient’s email address, or start typing the name of someone in your address book – Webmail will make suggestions as you type. In order to send to multiple email address, type them one at a time, pressing Enter after each one.
Subject: Type in the subject of the message.
Clicking the ‘More’ link allows you to specify cc: and bcc: addresses.
Compose your message in the large text area. Some basic formatting tools are available.
If required, click the attachment button to upload files for the outgoing email message.
Click the Send button to send the mail.

Features of Sending Mail
Attachments
To attach files to your email messages, first click the Attachments button in the compose screen. A new window will pop-up to add attachments; click the “Browse” button to select a file from your hard drive. Click “OK” when you have selected the appropriate file attachment. Once files are uploaded, you can check the size of the attachment and choose to delete the file. Multiple attachments are supported.
Signatures
When sending your email message, you can define a signature to be attached to the bottom of the email message. See the Settings panel for more information and how to set these.

– Modifying Settings

Use the “Settings” panel to modify the preferences of your email account. Tailor the email service to your needs, preferences include:
Thread Support: Toggle whether you want Webmail to display related emails in threads.
Thread Limit: Determines how old emails can be before they are not included in threads.
Default View: Select between a 2-pane or 3-pane interface to Webmail
Interface Language: Select which language the interface should use. Options are English, Español, Italiano, Français, Deutsch, Nederlands
Messages per page: How many message you wish to display per page
Timezone: Set this to your local timezone for accurate date/time calculations within Webmail.
Signature: Create a signature that will be appended to outgoing emails.

– Address Book

Use the address book to store your friends, contacts or important addresses. You can reference back to addresses in the future, and compose email messages with selected emails from the address-book.
Click ‘New Contact’ to create a new entry in the address book. Enter the users details, and select submit to write the entry to the address book. You can modify/delete entry’s in the address book by selecting the icons on the right.
You can group your contacts – on the left-hand side of the address book screen, you can add and remove groups of contacts, and drag-and-drop contacts into groups.

 – Calendar

Webmail’s calendar allows you to schedule tasks and organise your time.
To create a new task, drag out the times that you wish to allocate to the task in the mail panel. To delete a task, click on the task and click the ‘Delete’ button.
To create a new calender, click the + button at the bottom-right of the interface. To select which calendar to use, click on it.
To view tasks a day at a time or a month at a time, click the corresponding buttons on the task bar.

Setting up e-mail in Outlook 2010

Here is a step by step guide on setting up your e-mail account in Microsoft Outlook 2010.

This guide specifies only the options you need to change from the defaults, so if any options are not listed here, they don’t need to be changed.

Steps to setting up your mailbox in Outlook

  1. Start Outlook.
  2. From the File menu, click “Account Settings”.
  3. Click “New”.
  4. Click “E-mail Account”
  5. In the Auto Account Setup dialog box, click to select the “Manually configure server settings or additional server types” check box, and then click Next.
  6. Click “Internet E-Mail”, and then click Next.
  7. Fill out the required settings as follow:

Your Name: Your name exactly as you want it to appear to recipients when they receive email from you
Email Address: your full email address – cllr@settletowncouncil.org.uk

Account Type: IMAP
Incoming mail server: mail. – replace with your domain name, mail61.extendcp.co.uk
Outgoing mail server (SMTP): mail. – same as the Incoming mail server

Username: your full email address once again cllr@settletowncouncil.org.uk
Password: your mail box password which is the same as it was on the original service.

Ensure that ‘Require logon using Secure Password Authentication (SPA) remains unchecked. This is important as you may experience difficulty sending email with this enabled.

  1. Click “More Settings…” in the bottom right of the window.
  2. Click “Outgoing Server” tab at the top.
  3. Tick the box labelled “My outgoing server (SMTP) requires authentication”.
  4. Ensure that the “Use same settings as my incoming mail server” is selected.
  5. Click “Advanced” tab at the top.
  6. In the Incoming mail (POP) box, type 993, and check the box by “This server requires an encrypted connection (SSL)”.
  7. In the Outgoing mail (SMTP) box, type 587. *Note, if you have trouble sending e-mail, please try changing this to port 465.
  8. Ensure that ‘This server requires an encrypted connection (SSL) is checked.
  9. The ‘Use the following type of encrypted connection:’ option should be set to Auto.
  10. Click “OK” to close the window.
  11. Click Next after you have completed entering this configuration information, and then click Finish.

Account Type: POP3
Incoming mail server: mail. – replace with your domain name, mail61.extendcp.co.uk
